Brief description of role

We’re looking for an exceptional organiser with a flair for people coordination to manage the scheduling of freelance crew for fast-paced film and TV productions. This full-time role is ideal for someone from an events, hospitality, or bookings background (e.g., wedding planning, PA, agency coordination), who thrives in high-pressure environments and enjoys making structured processes run smoothly. This role reports to the Production Dept Manager and Production Relations Manager.

You will be the key liaison between freelance crew and production offices, ensuring the right talent is in the right place at the right time – often with very short notice. Confidence on the phone, assertive follow-up, and meticulous calendar management are critical.

This is a phone-heavy role – you’ll spend a large part of your day speaking with freelancers and production teams, so strong verbal communication and professionalism are essential.

This is an excellent opportunity for someone who enjoys solving problems, bringing structure to chaos, and playing a vital role in fast-paced productions behind the scenes.

Role and Responsibilities

• Coordinate and book freelance film crew across UK and occasional international shoots.

• Act as primary point of contact between productions and crew.

• Monitor and adapt schedules in response to last-minute changes.

• Maintain accurate records of crew availability, CVs, rates, and compliance.

• Ensure all crew receive call sheets, NDAs, travel info and documentation.

• Use scheduling and production tracking tools to maintain visibility across projects.

• Manage freelancer onboarding, contracts, rate cards, and timesheets.

• Liaise with internal departments to ensure alignment across crew, gear, and logistics.

 

Who We're Looking For:

• A natural organiser with razor-sharp attention to detail.

• Comfortable managing high volumes of phone communication.

• Assertive and professional communicator who can build rapport quickly • Proactive, highly structured, and efficient with time and priorities.

Desirable but not essential:

• Experience coordinating schedules in events, weddings, agencies or production offices.

• Understanding of the freelance landscape in film/TV.

• Familiarity with scheduling tools or production software.

Working Conditions

• 42.5 hours/week (Monday to Friday), with shifts scheduled within 7am–7pm business hours. Flexibility required.

• Holiday: 20 days + UK Bank Holidays.
