Role Overview:

We are seeking an Administrator to support our Central Operations and various other teams within the Company. This exciting opportunity requires a self-motivated, highly organised, proactive and personable individual with a good sense of humour, strong work ethic and positive can-do attitude.

Key Responsibilities:

• Incoming call management – assisting with customer & supplier queries/ directing to the correct department

• Email management of various accounts

• Calendar/meeting management

• Invoice collation

• Assisting the Purchasing team – request quotes from suppliers, raise purchase orders and complete transactions

• Updating the customer databases and asset management system

• Preparing and sending documents as required

• Data entry/cross reference tasks

• Stock management – Stationery, Merchandise and Company supplies

• Fire attendance logs – checking calendars daily and logging who is in attendance

• Signing visitors in and out of the building

• Assisting the Central Team with onboarding preparations

• Kitchen stock management including Order/delivery

• Diary management for contractors/ trial shifts/ new starters – inform all staff

• Collecting signatures for company milestone cards

• Report analysis – including Jola & QTake

Candidate Requirements:

• Friendly, welcoming and well presented – You are the first point of contact for CineArk

• Common sense and initiative, with the ability to work unsupervised under pressure, working to tight deadlines

• Conscientious with a positive can-do attitude

• Excellent verbal and written communication skills

• Ability to learn at a fast pace

• Strong organisational and time management skills

• Flexibility – the company priorities often change unexpectedly, candidate needs to possess the ability to switch tasks at short notice, to meet the business needs.

• Discretion – working in highly sensitive areas of film production

• Computer literate – strong competency with the MS Office suit – Excel, Word, Outlook, and Apple with ability to learn new programs quickly

Working Conditions

• 42.5 hours per week, working 8am to 4.30pm – with flexibility to work outside of these hours if required

• Monday to Friday

• Holiday – 20 days per year plus UK bank holidays
