Brief description of role

We are seeking a motivated Kit Room Team Leader, to oversee and support our Check In and Check Out Teams. This role is crucial for ensuring smooth operations in a fast-paced environment and requires a focused, highly organized individual with excellent communication skills and a proactive approach to problem-solving. You will be instrumental in maintaining high standards of work, updating and improving company processes, and leading by example. 

This role will work closely with the other Kit Room Team Leader, each leading either the Check In or Check Out team rotating between the Teams every 5 months, after passing probation. 

Role and Responsibilities:

  • Allocate and Re-allocate Tasks on both Check In & Check Out: Assign tasks, adjust as priorities shift, and manage expectations with clear communication to avoid discontent. This will include in-house jobs such as PAT Testing, repairs and Monitor Calibrations alongside Client facing tasks. 
  • Rota and Overtime management: Scheduling the rota, approving time off and flagging when cover is needed in other regions. Approving overtime requests and adding TOIL to the online system. 
  • Collaborate Across Teams: Work closely with the other Team Leaders and Production team to ensure smooth operations across whole team and between all departments. This includes working with the other Kit Room Team Leader when you team needs help staffing tasks. 
  • Maintain High Standards: Uphold rigorous standards in all processes, conduct regular reviews, and implement improvements as needed.  
  • Process Improvement: Analyse process breakdowns and work with a task force to implement and communicate updates effectively. 
  • Team Development: Provide continuous support and training, share knowledge, and encourage best practices within the team. Work with your team to complete their pipelines. 
  • Motivate and Lead: Keep team morale high, providing encouragement and support during challenging times. Work with your team members on a 1-1 basis to encourage individual improvement or address poor standards. 
  • Support and Assist Regional Teams: Sign off pipelines and support regional teams when they need to talk through issues. Oversee shipments to and from regional warehouses to balance stock.  
  • Reporting and Accountability: Monitor team performance and report any issues you cannot deal with directly to management, ensuring accountabilities for all completed work. 
  • Liaise with Production Team: Various tasks such as Prep Room allocation and upcoming jobs not yet allocated 
  • Hands-On Leadership, Management & Accountability: Lead by example by actively participating in tasks, demonstrating excellence in all processes. Hold your team and yourself accountable for the tasks completed. Encourage your team members to be empowered to find solutions/raise suggestions and actively demonstrate collaboration with Production for last minute solutions. 
  • Check In Team Leader: Write off jobs following L&D sign off from Production Team. Run daily portal reports on asset anomalies and address. Oversee Repair Shelf issues and testing 
  • Check Out Team Leader:  
    Liaise with the Support Team: Assist and manage the team when they need.  
    Liaise with the Check Out Team: Manage difficult Operator and Driver escalations.  
    Carnets: Accountable for 3rd check in Carnet Process 
  • Training and Documentation: Oversee maintaining and updating of training materials, including manuals, videos, and checklists, ensuring they are relevant, fit for purpose and up-to-date. Allocate these tasks across the teams and ensure completion. 
    External seminar research and booking will also be needed after 6 months in role 
  • Various Meetings: Participate in meetings to present Kit Room’s input to various matters discussed. Some of the meetings include but are not limited to: 
    Check In Team Leader: Dashboard (Weekly) 
    Check Out Team Leader: Stock Availability (Weekly) 
    Alernated between Team Leaders: Interdepartmental Round table (Bi-Weekly) 
    Both Team Leaders: Line Management (Weekly), Head Tech Team (Bi-Weekly) 
  • Schedule and run meetings: Each Team Leader to rotate leading the Weekly Kit Room Huddle. Also schedule and run 1-1 meetings with your direct reports and follow up with meetings notes 
  • New Services: Research and present Kit Room’s potential needs and issues for new upcoming services/jobs. 
  • CineArk Culture: Promote CineArk’s values, advocating for your team, and fostering a positive work environment. 
  • Ad hoc tasks as needed. 

Candidate Requirements:

  • Previous experience in Managerial or Line Management position: Minimum 12 months experience 
  • Excellent Organizational Skills: Strong attention to detail and the ability to manage multiple tasks efficiently. 
  • Adaptability: Ability to react quickly and effectively to changing circumstances. 
  • Leadership and Communication: Confidence to provide constructive feedback, encourage team performance, and address issues promptly. 
  • Commitment to Quality: A passion for delivering high-quality service and striving for continuous improvement. 
  • Positive Attitude: A conscientious and proactive approach, with a can-do attitude and a commitment to team success. 
  • Problem-Solving Skills: Strong common sense and initiative in addressing challenges and finding effective solutions. 

Desirable but not essential:

  • Interest in technical equipment

Working Conditions

  • 40 hours per week, working shifts within our main hours of business – 7.30am to 7pm - with flexibility to work outside of these hours if required.  
  • Monday to Friday 
  • Holiday - 25 days per year plus UK bank holidays
